When business owners hear the word "compliance", many of them picture the same thing: a payment stuck in limbo, an email asking for yet another document, and a supplier waiting on the other side of the world.
I understand that frustration. As Volta's Compliance Manager, my job is to make sure every payment we process is safe and lawful. But I also see, every day, that compliance and speed are not opposites. In most cases, what slows a payment down is not the check itself. It's the missing document, the name that doesn't match, or the question that takes three days to answer.
So let me explain what we check, why, and how you can make it effortless.
Why we check at all
Volta Square LLC is registered with FinCEN, the U.S. Treasury's financial crimes authority, as a Money Services Business. That comes with clear obligations: we must know who our clients are, understand why money is moving, and screen every party against sanctions lists, including those maintained by the U.S. Office of Foreign Assets Control (OFAC).
For clients in Central Africa, there's a second layer. Under the CEMAC foreign exchange regulation, banks must receive supporting documents before they release foreign currency for a payment outside the zone. If those documents aren't in order, the payment stops at the bank, whatever provider you use.
These checks also protect you. They stop fraudsters from impersonating your suppliers, and they make sure your payment isn't rejected halfway by a bank that asks the same questions later, when it's much harder to fix.
A payment that is checked properly at the start is a payment that doesn't get blocked at the end.
The three moments we check
1. When you open your account. We verify your business and the people behind it. This is the biggest step, and you only do it once.
2. When you make a payment. We confirm what the payment is for and who receives it, usually with an invoice.
3. Over time. If something changes, like a much larger amount, a new country or a change in ownership, we may ask a short follow-up question. It doesn't mean we suspect anything. The rules require us to keep your file up to date.
What to prepare
For your account:
- Your certificate of incorporation or business registration (for example, your RCCM in Cameroon).
- Your company's articles of association or statutes.
- Your tax identification number (for example, your NIU in Cameroon).
- A recent proof of your business address.
- A valid ID for each director, and for each person who ultimately owns or controls the business (typically anyone holding 25% or more).
For each payment:
- An invoice or pro forma invoice that matches the payment: same amount, same currency, same supplier name.
- For large or recurring payments, the contract or purchase order.
- For imports into the CEMAC zone, the documents your bank needs for your import file, such as transport and customs documents.
Six habits that get your payments through first time
- Send everything at once. One complete file is reviewed much faster than five partial emails.
- Make it readable. Clear scans or photos, all pages, nothing cut off. A blurry ID is the most common reason we have to come back to you.
- Check that names match. The supplier name on the invoice, on the payment and on the bank account should be exactly the same.
- Tell us before anything unusual. A new supplier, a new country or a much larger amount? A quick message beforehand lets us prepare instead of pausing your payment.
- Answer with a document, not just an explanation. If we ask what a payment is for, the invoice or contract answers it immediately.
- Keep us updated. New director, new shareholder, new address? Let us know when it happens, not when your next payment is waiting.
Compliance as a service
I don't see my team as a gate you have to get through. We're part of the service. When we ask for something, it's because we want your payment to arrive the first time, without being stopped further down the line.
If you're not sure which documents a payment needs, ask us before you send it. That question takes two minutes to answer, and it can save you days.
